How to stop double bookings between Treatwell and Phorest
Double bookings happen when two calendars each think a slot is free. Booking Connect closes most of that gap automatically, and tells you when it spots a possible clash.
Why double bookings happen
A customer books the last slot on Treatwell while someone else books the same slot at the desk. Until each system knows about the other booking, both look free.
How Booking Connect closes the gap
Treatwell to Phorest: as soon as Treatwell's booking email arrives, the time is blocked out in your Phorest diary.
Phorest to Treatwell: each synced stylist has an iCal calendar feed that Treatwell reads. Phorest appointments and breaks show up as busy times. Treatwell checks the feed regularly, so a new Phorest booking can take up to five minutes to appear.
ClassPass and Fresha: these bookings are added to Phorest as breaks. Before adding one, Booking Connect checks whether it overlaps something already in the diary. If it does, it still blocks the time but emails you a warning with the details, so you can sort it out.
Being honest about the small window
Because Treatwell reads your calendar on a schedule, there is a short window of a few minutes where a Phorest booking might not yet be visible on Treatwell. Booking Connect cannot remove that window completely, but it makes it far smaller than syncing by hand.
Tips to keep double bookings rare
Switch on every stylist who takes Treatwell bookings, and add their iCal link in Treatwell Connect.
Keep staff shifts up to date in Phorest.
Send warning emails to someone who reads them. See Choosing where your Booking Connect emails go.
If a warning says a service is not mapped, deal with it promptly. See "Service not mapped" – what to do when a booking only blocks out time.
Booking Connect has a 14-day free trial, so you can try it with your own diary first. See the pricing page for the plans.
Booking Connect is an independent service. It isn't run by Treatwell, Phorest, Fresha or ClassPass.
