Treatwell booking emails explained: what Booking Connect reads
Booking Connect works from the emails Treatwell sends about your bookings. Here is what it reads, and what it does with each part.
The three kinds of email
New bookings, which are added to Phorest.
Reschedules, which move the existing booking.
Cancellations, which cancel it and free up the time.
What we pick out of each email
The order reference, which links a reschedule or cancellation back to the original booking.
The date and time, converted using your salon's timezone.
The stylist's name, matched to your staff in Phorest.
The customer's name, email and phone number, used to find them in Phorest, or create them.
The service and option booked.
Whether it is prepaid or unpaid, and the price.
Matching the stylist
The stylist name on the Treatwell booking is matched to your staff in Phorest. If we can't tell who it is for, or two people match, nothing is guessed. You get an email explaining which names we found, so you can add the booking by hand.
Finding or creating the customer
Booking Connect looks for an existing Phorest client by email and phone number. If there isn't one, it creates a new client with a note that they came from Treatwell.
Setting up the emails
Copy your personal Booking Connect address from the Setup page and add it in Treatwell as a secondary email under Settings, Notifications, Contacting you. You can keep your own address there too. See Set up Treatwell booking emails.
If an email can't be processed
If anything essential is missing, such as the date, stylist or customer details, Booking Connect does not guess. It emails you with the original details so you can handle that booking yourself.
