Treatwell prepaid vs unpaid bookings in Phorest

Treatwell bookings are either prepaid or unpaid (pay at the salon). Booking Connect lets you decide how each kind lands in your Phorest diary, service by service.

Why it matters

A prepaid booking has already been paid for on Treatwell, so there is nothing to take at the till. An unpaid booking needs payment at the end of the visit. You may want those to look different in Phorest.

What you can choose

The first time Booking Connect sees a new service it creates a default mapping that blocks out the time with breaks. You can then change the behaviour for prepaid and for unpaid bookings separately, for example:

  • Create a full Phorest appointment for unpaid bookings, so staff take payment at the end of the visit.

  • Leave breaks for prepaid bookings, because nothing needs charging.

  • Treat processing time as a gap, so the stylist stays free while colour develops.

Diagram. The same service is shown two ways: as breaks (the default, good for prepaid bookings) or as full appointments (good for unpaid bookings). Processing time can be left free as a gap in both.

You can review and change these on the Mapping section of the Setup page. See Configure mappings.

Price checks

When Booking Connect creates a full appointment, it compares the total price in Phorest with the price on the Treatwell booking. If they differ, you get a warning email so you can correct it.

New services

A service that has not been mapped yet only creates breaks, and the booking needs adding to Phorest by hand. You get an email telling you which service to map. See "Service not mapped" – what to do when a booking only blocks out time.
